The Receptionist is responsible for providing reception, guest management, meeting room management and general administrative support to the Montreal office.


Essential Job Functions and Responsibilities:

  • Reception - Provides reception coverage (telephone, front desk support) for the Montreal office. Answers main switchboard in a timely and professional manner. Greets and announce staff, guests, and clients as appropriate. Keeps reception areas neat and orderly.
  • Meeting Support - Manages meeting room activities including arrangement of catering orders and room reservations via web-based system. Assists meeting participants as needed with client meetings, case team meetings.
  • Guest Services - Provide administrative assistance for all guests as needed. Ensure guest offices are well stocked and organized according to AG standards.
  • Recruiting Support – Manage and support in-house interviews.
  • Finance - Process vendor invoice payment and check requests. Handle check deposits and subscriptions inventory. Handle expense reporting for the Montreal office (excludes the Partners and VPs) through ERMA and handle monthly Corporate interact/credit cards expenses.
  • Event Support – Assists with the coordination of scheduling, logistics, and related tasks for office events, such as the annual Montreal holiday party, summer party, and additional local events throughout the year.
  • Other tasks as necessary, to support the Administration team.

Qualifications:

  • Fluency in English and French.
  • Poised, welcoming and professional demeanor. Customer service focused.
  • Excellent PC capability using Microsoft Office: Outlook, Word, Excel, and PowerPoint.
  • Equivalent 3+ years Receptionist/Administrative Assistant experience, preferably in professional business environment.
  • Ability to interact with executive and senior level staff.
  • Highly motivated, self-starter, who takes initiative with minimal supervision.
  • Must be able to effectively prioritize and manage tasks effectively.
  • Bachelor’s degree an asset.

La personne affectée au poste de réceptionniste assure l’accueil et l’orientation des visiteurs ainsi que la gestion des salles de réunion. Elle fournit aussi un soutien administratif général au personnel du bureau de Montréal.


Principales tâches et responsabilités :

  • Réception — Exécuter toutes les tâches relatives au service de réception (répondre au téléphone, être présente au comptoir d’accueil) du bureau de Montréal. Répondre aux appels téléphoniques entrants avec rapidité et professionnalisme. Accueillir le personnel, les visiteurs et les clients selon les besoins, et aviser les personnes concernées de leur arrivée. Maintenir l’ordre et la propreté des aires d’accueil.
  • Soutien aux réunions — Assurer la gestion des activités relatives aux salles de réunion, y compris les commandes auprès des traiteurs et la réservation des pièces par l’entremise d’un système Web. Assister les participants aux réunions selon les besoins, qu’il s’agisse de rencontres avec des clients ou entre membres des équipes de projet.
  • Services offerts aux visiteurs — Fournir une assistance administrative à chaque visiteur s’il y a lieu. Veiller à ce que les bureaux des visiteurs soient bien approvisionnés et aménagés conformément aux normes de Groupe d’analyse ltée.
  • Soutien au recrutement — Gérer et soutenir les entrevues à l’interne.
  • Finance — Effectuer le paiement des factures des fournisseurs et valider les requêtes. Assurer le dépôt des chèques et la gestion de l’inventaire des abonnements. Traiter les rapports de dépenses du bureau de Montréal (excluant les partenaires et les vice-présidents) au moyen d’ERMA ainsi que les dépenses mensuelles des employés réalisées par Interac et par cartes de crédit.
  • Soutien aux événements — Contribuer à la coordination de la planification, de la logistique et des tâches connexes lors des événements de bureau, comme la réception annuelle du temps des fêtes du bureau de Montréal, le rassemblement estival et toute autre activité prévue dans le courant de l’année.
  • Toute autre tâche, selon les besoins, visant à soutenir le personnel administratif.

Aptitudes requises :

  • S’exprimer avec aisance en anglais et en français.
  • Agir de façon professionnelle, posée et accueillante. Accorder une grande importance au service à la clientèle.
  • Disposer d’excellentes compétences avec l’environnement PC et la suite Microsoft Office : Outlook, Word, Excel et PowerPoint.
  • Compter l’équivalent de 3 ans ou plus d’expérience professionnelle à titre de réceptionniste ou d’adjointe administrative, préférablement au sein d’un milieu professionnel d’affaires.
  • Être en mesure d’interagir avec les cadres supérieurs et les membres de la haute direction.
  • Faire preuve de débrouillardise, d’initiative et d’une grande motivation; fonctionner avec un minimum d’encadrement.
  • Établir efficacement des priorités et gérer les tâches avec efficience.
  • Un baccalauréat sera considéré comme un atout.
