Please accept this memorandum as notification that a half‐time Program Administrative Assistant is being considered for our Kingston and Gananoque sites. In the interests of time, we are recruiting both internally and externally simultaneously.
Length of Position: as soon as possible to December 2019 with potential for extension
Job Classification: Level V
Hours per Week: 17.5 with a flexible schedule to support our programming hours
The Administrative Assistant position will focus on administrative responsibilities related to the Skills Link program. The Administrative Assistant will also act as a support to the Youth Services Team to assist with various aspects of data entry, case notes, client file management, assessments, facilitation and workshops. This position requires a thorough knowledge of Youth Services. The primary purpose of the Skills Link program is to work with at‐risk youth and assist them to address their barriers to employment through skills development and certification
workshops, experiential learning and labour market placements. This program focuses on the development of retention skills. This project involves the delivery of Group‐Based– Employability Skills and a labour market placement. Intensive support both group and individual during labour market placements will be required to support positive life choices and long term career/life planning.
a. Excellent administrative and organizational skills; strong computer skills; knowledge of a variety
of software programs
b. Ability to support youth in a solution‐focused manner
c. Understand the challenges facing unemployed youth
d. Understanding of the rural local labour market
e. Must possess strong interpersonal skills; active listening and decision‐making and exceptional
problem solving and conflict resolution skills
f. Possess excellent communication skills: strong, confident presentation/facilitation and classroom
g. Detail and task oriented with demonstrated self‐management and time‐management skills
h. Ability to work and communicate effectively within a team environment
i. Ability to promote confidentiality as a norm
j. Must treat all individuals with equal respect and interact in a tactful, supportive, professional
k. Comfort working autonomously in off‐site locations and promoting KEYS programs and services
in those communities
a. Post‐secondary education preferably in Human Services, Human Resources, or combination of
education and relevant work experience
b. Recognized Training in Data Base Management and/or Business Administration
c. Demonstrated administrative; organizational and computer skills
d. Previous experience working with vulnerable individuals
e. Facilitation and teaching experience is required
f. Marketing and communications experience is a definite asset
g. Proficiency in English. French is considered an asset.
h. Valid driver’s licence and a reliable vehicle is required
Work Environment (Equipment, Demands and Hazards)
a. Office setting in Kingston and Gananoque with occasional travel to off‐site locations within the
KEYS catchment area
b. Professional appearance is required; casual business attire.
