Administrative Assistant Receptionist Jobs Vacancy in Homes Toronto Jobs Details:

Job Description

Reception:

  • Answer internal phone calls and direct to appropriate person
  • Receive emails and direct to appropriate recipient
  • Check voicemails for office phones and direct message(s) to the appropriate recipient
  • General email communication with staff and prospects
  • Document creation and editing
  • Handling/storage of project files/drawings/contracts
  • Assist in project application preparation and submission (site plan applications, etc)
  • Reception duties (greeting clients & preparing refreshments)
  • Credit application and purchase order preparation for suppliers and vendors

Customer Service:

  • Communicate with clients and site supervisor for assigned projects
  • Assist invoice preparation, track extra scope of work and cost for assigned projects
  • Assist in material selections and filing for assigned projects
  • Assist design revisions and filing for assigned projects
  • Permit Application preparation and communication with city planners for assigned projects
  • Client Hospitality (greet and direct clients)
  • Help to create a comfortable and welcoming office environment for clients and for staff
  • Offer beverages and RS materials for review during any appointment wait times

Sales Support:

  • Occasional first contact for call-in leads
  • Manage RS Homes & LSI Engineering CRM
  • Send and prepare specialized mass broadcast emails via MailChimp

Additional Qualifications Required:

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, architects, interior designers, and real estate agents
  • Expert level written and verbal communication skills ( Englishis your first language)
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity and high level of professionalism
  • Highly resourceful team-player, with the ability to also be extremely effective while working independently
  • Proven ability to handle confidential information with discretion and be adaptable to various competing demands, while demonstrating the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet tight deadlines in a fast paced environment
  • A forward thinker, who actively seeks opportunities and proposes solutions

Education and Experience Requirements:

  • Bachelor's degree not required but considered to be an asset.
