Responsibilities:

Front Desk (50%)

  • Meeting and greeting clients

  • Answering general switchboard enquiries, screening and directing calls as necessary

  • Managing incoming and outgoing mail including scheduling couriers

  • Respond to vendor, client and internal emails as required

  • Monitoring stationery supplies, coffee, tea supplies including milk and other consumables that may be required to ensure clients and staff have everything they need

  • Organizing meetings, conferences lines and video conferences within the Western Region

Office Administrative Support (25%)

  • Provide administrative support to the Executive Assistant and take direction and instruction on national administration mandates and best practices

  • Supporting the technical staff when that Executive Assistant is absent such as booking travel and conferences as required, inputting information into the Project Number list

  • Create and update records and databases with personnel, financial and other data

  • Support all staff with database entry, data management, formatting documents, and undertake research

Marketing Administrative Support (25%)

  • Support the Marketing and Proposal team as necessary on preparing information for proposals, CVs, maintaining marketing databases, and ensuring e-filing is up to date and maintained

  • Support the Corporate Communications Manager with staff and client events

Qualifications:

  • Minimum of 3 years proven experience in a similar role

  • Proficient with computers and office equipment is mandatory; advanced experience in MS Office (Outlook, Word, Excel and PowerPoint) would be preferred

  • Typing of 60 wpm

  • College Degree or equivalent to any of the following, Business Administration or Marketing

  • Certified Administrative Professional (CAP) is considered an asset

Technical and Behavioural Competencies:

  • Good analytical and interpersonal skills combined with sound judgment and initiative

  • Self-motivated with good organizational and communication skills

  • Professionally presentable at all times while providing exceptional services in all interactions with clients

  • Ability to work in a team environment and to work to own initiatives

  • Interactive and collaborative while building strong working relationships with staff

  • Demonstrate attention to detail to produce quality work

  • Good time management to meet reporting/proposal deadlines
