The Bookstore Assistant - Warehouse (Shipping and Receiving) performs a variety of tasks related to the receiving, warehousing, and shipping of merchandise and supplies. The nature of the work requires a detailed knowledge of shipping, receiving, and warehousing operations and systems and the ability to instruct staff with the general objective of ensuring an efficient flow of goods and the appropriate recording of merchandise movement, receipt, and shipment.

Organizational Status

Reports to the Assistant Merchandising Supervisor or Logistics Manager, as designated.

Work Performed

  • Prepare goods for shipment, including wrapping, packaging, or building a pallet of boxes
  • Ensure goods to be shipped have appropriate documentation, such as a receipt or return bill
  • Select appropriate carrier for shipment, including couriers and freight shippers
  • Prepare proper documentation for shipments, including manifests or shipping labels
  • Enter shipments onto computer terminal using shipping or other software
  • Coordinate movement of merchandise between sites
  • File shipping paperwork and answer staff and customer inquiries relating to shipment status
  • Liaise with carriers regarding status of shipments and pickup schedules
  • Liaise with UBC Campus Mail to distribute on-campus shipments
  • Ensure that the shipping area is orderly, tidy, and safe

  • Instruct assigned subordinate staff in relation to receipt of goods and work flow in the area
  • Responsible for the receipt of merchandise and supplies into the Bookstore
  • Ensure accurate documentation of receipt of goods by signing carrier's shipping manifests and give written notice of any shortage or damage
  • Enter receipt of goods into computer system, ensuring accuracy
  • Follow up on discrepancies with suppliers and Bookstore staff verbally or in writing
  • Move incoming merchandise and other items to designated areas
  • Ensure that the receiving area is orderly, tidy, and safe

Other duties:
  • Process billing/invoicing departmental orders
  • Assist in other areas of the warehouse, such as merchandise processing or returns
  • Perform any duties of lower classification levels
  • Other related duties as necessary in keeping with the qualifications and requirements of the job

Supervision Received

Works under general direction of the designated Section Head or Assistant Merchandising Supervisor, carrying out responsibilities within established guidelines, procedures, and limits.

Supervision Given

Responsible for instructing a small group of employees at lower levels, and provides guidance to those employees in the performance of their work.

Consequence of Error/Judgement

Works within well-defined guidelines and procedures, but is expected to exercise sound initiative and judgment in establishing priorities in carrying tasks through to completion. New or unusual problems would be referred to his/her supervisor.


High School graduation and one year of related experience or secondary school graduation and completion of relevant post-secondary training program. an equivalent combination of education and experience. the equivalent combination of education and experience. Warehouse experience, especially in receiving and documenting product. Experience supervising staff. Knowledge of shipping regulations. Ability to be thorough, accurate, and have a high level of attention to detail. Physical ability to perform the duties of the job. (e.g., lifting, standing,) Ability to lift heavy objects onto skids for shipment. Ability to effectively train, supervise, and motivate employees. Ability to communicate effectively verbally and in writing. Ability to use a cash register, computer terminal, calculator, photo-copier, fax and other related office equipment. Ability to accurately input data into a computer and use a computerized mailing system.
