Graduate Administrator Trp Jobs Vacancy in University Toronto Toronto Jobs Details:

Under general direction, the position provides administrative support to the Masters of Health Science Translational Research Program (TRP) in the Institute of Medical Science (IMS). The incumbent reports to the Director of the TRP and provides functional support to the Business Officer. Key responsibilities include: acting as the first point of contact for prospective and current students; responding to routine admissions, procedures and program inquiries; tracking and monitoring student records, including course enrollment and progress for capstone projects; entering student information and grades; coordinating the review process for admission interviews and the entrance awards; submitting documentation for graduate students to the School of Graduate Studies (SGS); attending recruitment fairs at local universities; scheduling meetings; scheduling logistics of program events such as course modules, workshops, symposia, etc.; maintaining and updating content on the website and social media accounts; scheduling committee meetings and taking minutes at meetings; preparing and formatting various correspondences; providing financial support for processing invoices, accounts payable/receivables, etc.; assisting with the administration of Teaching Assistants; and providing program administration support, as required.


Advanced College Diploma (3 years) in a related field, or an equivalent combination of education and experience.

Minimum two (2) years of related administrative experience, preferably in a University or post-secondary environment. Experience coordinating academic programs as the primary resource to students, interpreting and advising on policies and procedures, coordinating applications, complex program schedules and evaluations, providing committee support and coordinating events. Knowledge of University of Toronto and Faculty of Medicine graduate student processes and procedures is a strong asset. Experience managing calendars on behalf of senior stakeholders. Experience managing databases and generating reports. Experience working with students at the University of Toronto and/or the Toronto Academic Health Science Network is an asset. Experience processing financial transactions and basic account reconciliation.

Advanced computer skills with proficiency with MS Office. Experience working with content management systems (WordPress) and social media in a professional environment. Experience with student information management systems (ROSI/ACORN), Graduate Education Management System (GEMS), Quercus, and FileMaker or similar database programs is required. Experience with FIS or related financial systems considered an asset.

Excellent oral and written communication skills. Demonstrated ability to take initiative, be adaptable and flexible. Professionalism, tact and discretion with strong interpersonal skills; excellent student engagement skills; creative self-starter who is able to deal with a high level of ambiguity and show good judgement; strong attention to detail; ability to work in a team but must also be able to work independently with limited direction; ability to multitask and stay organized in a fast-paced environment. Experience dealing with sensitive and confidential matters.
