POSITION SUMMARY:
Reporting to the Manager, Leadership & Talent Development, the Coordinator will facilitate the efficient functioning of the Leadership & Talent Development department by providing support for administrative needs of the department that support excellence in the employee experience, coordinating various service recognition, employee appreciation events and initiatives, supporting the end user customer service needs of the systems utilized including performance development, awards processes, and the learning management system.

The Coordinator will develop and analyse information and reports on learning, engagement, recognition, performance, and other departmental areas of responsibility. The Coordinator coordinates and maintains the Leadership & Talent Development areas of the intranet including content, metrics, queries, and design.
This role will intersect with activities that flow across the entire employee experience journey at Kingston Health Sciences Centre. This is demonstrated for employees and leaders, through engagement activities such as learning and leadership development, performance development and recognition. This role maintains a customer service focus across all touch points of the employee life cycle to ensure an optimal employee experience.

The administrator will be accountable for contributing to the delivery of the Kingston Health Sciences Centre strategy by ensuring that assigned corporate recognition and learning activities at KHSC meet organization goals and priorities and actively promotes and supports patient and family centered care. The administrator will liaise with internal and external partners, participate in corporate initiatives and committees to provide analytics, expertise, consultation and support.

RESPONSIBILITIES & DUTIES INCLUDE:
  • Coordinates milestone service and recognition events and initiatives including but not limited to; annual long service dinner or reception, appreciation events such as a Strawberry Social, BBQ, teas or lunches, Open House or other staff events and programs
  • Coordinates recognition functions such as the Holiday Open House including catering arrangements, room booking, decorations, leadership presence, advertising, and troubleshooting during the event
  • Acts as the liaison between the service token provider and the hospital and orders, tracks, distributes tokens and gifts
  • Coordinates appreciation programs at the individual, team, and corporate level such as thank you coupons, awards or certificates
  • Contacts leaders, staff and others regarding service awards and orders gifts, maintains budget and distributes tokens. Arranges for pick up of awards, obtains appropriate signatures, and timely contacts
  • Customer service for inquiries related to any recognition or appreciation initiatives
  • Coordinates bursary, awards, and education allocations/programs
  • Completes tasks associated with the on-going administration of the learning management system(s)
  • Uploads and sets up systems for uploading assessments, evaluations and content to the learning management system
  • Monitors usage and performance of the learning management system
  • Provides learning management system customer service support to users and administrative support
  • Assists Learning Management System users with technical problems, navigation issues, and content clarification or access
  • Works collaboratively with team members for performance development initiatives, leadership programs, and learning opportunities to support the achievement of required outcomes
  • Liaises with HR Advisors regarding targeted leadership development and performance plans
  • Provides recommendations in the on-going development of leadership orientation initiatives
  • In conjunction with partner hospitals, plans and coordinates E-Learning upgrades and required fixes
  • Maintains and administers People Services’ web development including Leader Toolkit and Leadership Exchange e-documents
  • Works collaboratively with Advisors in testing, publishing and management of training content
  • Develops and provides training on system(s) use
  • Supports the liaison with suppliers to evaluate and /or procure course materials, software applications and teaching tools
  • Coordinates employee engagement survey administration and reporting
  • Develops support tools for leaders and the management team
  • Develops and maintains reports on initiatives for corporate, departmental, surveys and required reporting
  • Completes administrative tasks required to support the leadership, team, department and specific initiatives including setting up meetings, photocopying, filing and records management
  • Administers surveys, audits and evaluations and collates data
  • Presents initiatives to staff, leaders, and others in the organization
  • Works with both KHSC and Providence Care stakeholders


BASIC QUALIFICATIONS:
  • Bachelor’s degree in business administration, learning design, leadership, human resources management or related field of study
  • 3 year diploma with an equivalent combination of education and experience may be considered
  • Certification in learning administration and/or adult education, Total Rewards or equivalent is desirable
  • Minimum 3 years’ experience in software and/or networking technical support and/or a minimum of 2 years’ experience in a direct or supporting role in an HR function utilizing e-learning, performance management or recognition applications preferred
  • Demonstrated experience presenting, facilitating or teaching groups
  • 1 year experience planning and organizing events, workshops, courses or large meetings.
  • Excellent teamwork, collaboration, verbal and written communication skills (including the ability to explain technical concepts in non-technical terms)
  • Project and time management skills essential
  • Organizational and administrative skills at a high and independent level
  • Strong attention to detail, critical thinking and analysis skills required
  • Customer service focus with a positive presence is essential
  • Ability to work with all levels of management and staff
  • Demonstrated ability to be flexible, adaptable, curious, and comfort with ambiguity and brings a change mind-set.

  • Has working knowledge of eLearning authoring tools such as Captivate, Articulate Storyline primarily for QA purposes
  • Developing on-line software using LMS tools/applications such as: Captivate, Microsoft Power Point and MS applications, Photoshop, Articulate Storyline, HTML
  • Microsoft Office Suite including Access
  • Excel, at an advanced level and SAP HR
  • Successful criminal background check is required
