Office Administrative Assistant Jobs Vacancy in University Toronto Toronto Jobs Details:

Working under the general supervision of the Director, Office of the Dean, the position is responsible for providing reception, general administrative, event & gift coordination support for the Office of the Dean.

Reception and clerical responsibilities include: acting as the first point of contact for visitors to the Faculty of Applied Science and Engineering, Office of the Dean; receiving, screening as appropriate, and directing inquiries (in person, via telephone and email); general reception and clerical duties such as handling couriers, ordering and maintaining supplies, photocopying, delivery coordination, and maintaining mailing lists.

Administrative support responsibilities include: scheduling meetings; coordinating catering orders; making travel arrangements; coordinating mass mail-outs for large projects (Annual Report, Skulematters, and Holiday Cards); drafting and editing routine internal and external correspondence for the Director, Office of the Dean; tracking deadlines; maintaining confidential files; assisting with special projects and events, and ongoing activities as assigned.

Qualifications:
Education:
Two-year community college diploma or acceptable equivalent combination of education and experience.

Experience:
Minimum two (2) years of related administrative experience, preferably in a University setting. Demonstrated experience in a similar front line position in a professional office i.e. Dean’s Office or equivalent and experience with communicating with a diverse clientele.
Skills:
Intermediate computer skills - Microsoft Office, databases, presentation software, website management.

Strong team player with excellent organizational, time management, analytical and problem solving skills; demonstrated initiative; superior communication and interpersonal skills; demonstrated excellent client service skills; high degree of professionalism; good judgment; superior tact and diplomacy, demonstrated ability to meet deadlines under pressure while multitasking and handling multiple priorities and interruptions; ability to maintain confidentiality; flexible; strong attention to detail and accuracy; ability to work both independently and in a team. Ability to create an inclusive welcoming environment; demonstrated sensitivity to diversity and people who may require accommodation when visiting.

Schedule: Full-time
Pay Scale Group and Hiring Rate: USW Pay Band 07 - $49,909 with an annual step progression to a maximum of $63,827. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
