ADMINSTRATION Permanent, full-time 80 hours bi-weekly, days

This position provides secretarial/reception duties for Marymound. Types, formats, and proofreads a variety of correspondence, minutes, agendas.

Reception also updates a variety of databases including spreadsheets, data collection and entry, and assists with the preparation of reports.

Primary responsibilities of the position include: 

Provide secretarial/reception duties for Marymound handling all telephone inquires as expeditiously as possible by providing accurate information and

transferring of calls to appropriate individuals 

Greet and direct callers and visitors in a respectful and courteous manner 

Retrieves mail from community mailbox 

Handle all incoming correspondence, sort, open, collate, date stamp, distribute to individual mail boxes and arrange for delivery to appropriate programs

when urgent 

Downloads and prints resumes from career email and forwards to Human Resources 

Monitoring and ordering supplies as needed 

Monitoring and ordering envelopes and corporate stationary as needed 

Monitor board room and meeting rooms making sure there are no double bookings 

Assisting other administrative staff in typing of minutes, correspondence, etc. 

Maintaining telephone listings 

Coordinate training/workshop notification system 

Participates as a member in a manner that contributes to teamwork and collaboration. 

Arranges, books, and confirms meetings, special events and appointments; books rooms, distributes invitations, food/refreshments and

equipment 

Maintains absolute confidentiality of all client and job related matters 

Provides back up assistance to other administrative staff 

May be required to perform other duties and functions as assigned.

Qualifications: 

Formal training in applied office skills is required 

Completion of high school or equivalent program of studies 

Combination of education and experience may be considered 

Two years directly related experience

Proficiency with computerized systems (Microsoft Word, Access, PowerPoint and Excel) is essential 

Experience with e-mail and computerized calendars 

Typing speed 60 wpm 

Experience in scheduling and coordinating meetings 

Ability to compose routine correspondence 

Experience recording and preparing minutes and agendas 

Excellent communication skills, verbally and in writing 

Ability to prioritize workload and independently complete a variety of administrative duties 

Ability to work in a fast paced environment and work effectively under pressure to meet deadlines 

Demonstrated problem-solving skills 

Demonstrated ability to effectively contribute to a team environment 

The ability to work independently and to establish and maintain good working relationships with administrative staff, social service agencies, and all levels of

management 

Ability to maintain a high level of confidentiality 

Previous social services/Non-profit experience would be an asset 

Valid driver’s license and acceptable driver abstract 

Satisfactory Criminal Record and Clear Child Abuse Registry with Prior Contact checks.
