Reporting to and under the direction of the Managing Director, University of Toronto Entrepreneurship, the Receptionist & Admin Assistant acts as the first point of contact for the University of Toronto’s ONRamp coworking and community space for the University of Toronto entrepreneurship community. The Receptionist & Admin Assistant enables a positive experience for all internal and external visitors (students, staff, faculty, startups, general public, government, investors, partner organizations and other key external stakeholders) to ONRamp and ensures the efficient operations of facilities and events. The incumbent will be responsible for greeting internal and external visitors; answering telephone, in-person and email inquiries; responding to and/or redirecting questions as appropriate; sorting and distributing mail; coordinating and arranging for courier pick-up and deliveries; coordinating the distribution and tracking of keys to authorized personnel; maintaining supplies; ordering office supplies and making purchases; and supporting event logistics in the space.
Completed College Diploma (2 years) or equivalent combination of education and experience.
Two years relevant clerical, administrative and reception experience in a front-line position working in a busy office environment, preferably in a post-secondary institution. Experience setting up a variety of AV, wired and wireless digital equipment.
Intermediate proficiency with MS Office (Word, Excel and PowerPoint), email, and Internet; demonstrated excellent interpersonal and customer service skills; excellent communication (oral and written) skills, including proofreading and editing skills. Wordpress experience, and/or graphic design skills an asset to support website and marketing communications work.
Proven ability to execute front-line duties in a professional, courteous and timely manner. Demonstrated ability to exercise tact, discretion, good judgment, and initiative. Ability to act with sensitivity and empathy when responding to a diverse range of individuals. Demonstrated ability to clearly and accurately convey information. Proven ability to maintain composure and to exercise attention to detail while working with multiple interruptions. Strong organizational and time management skills and ability to prioritize tasks and multi-task.
