Corporate Executive Assistant Jobs Vacancy in Secure Energy Services Calgary Jobs Details:

This this role has the responsibility of supporting the CEO and CFO and requires the successful candidate has a proven track record as a pro-active and self-motivated Executive Assistant. The right person is required to work across multiple functions on multiple tasks under tight deadlines. The successful candidate will be required to apply a high degree of discretion and independence using excellent time management, sound judgment, and self-composure under pressure. This position will appeal to an individual who enjoys working in a dynamic team environment supporting two senior executives and has the flexibility to manage daily activities and conflicting priorities in a proactive, positive and confidential manner.

Key Responsibilities

The responsibilities of this role include, but are not limited to:

  • Document Preparation & Management - Expedite daily communication and information flow including opening and distributing mail, developing filing systems, maintaining files, preparing correspondence, presentations, reports and mailings, processing expense reports, etc. Draft correspondence with respect to issues, concerns or questions raised to the CEO & CFO
  • Time & Calendar Management - Independently manages complex daily, weekly and long-term schedules for the CEO & CFO and engages other EA’s to coordinate the schedules of multiple executives
  • Meeting Coordination & Record Keeping – Organize and coordinate internal and external meetings, conference calls and events including weekly Executive meetings. Activities include; preparing agendas, minute taking, organizing logistics, participant contact and coordination, catering needs, record keeping and capturing and following up on action items
  • Travel Planning – Plans and arranges travel for the CEO, CFO, EVP’s, Senior Staff and groups including itineraries and agenda’s; booking flights, transportation, accommodation and any other support as required
  • Customer Relationship Management – Screen all incoming calls and voicemails actively and professionally communicating and interacting with both prospective and current customers in order to create, enrich and build stronger relationships
  • Budget & Expense Management – Code and track receipts for Corporate Visa’s on a monthly basis, monthly budget review/expense tracking and invoice payments
  • Office Services – Provide leadership for and oversee day to day activities of reception desk and related responsibilities, including managing certain office leases
  • Event and Activity Planning – Take a leadership role in the organizing of charity campaigns, holiday parties, monthly and quarterly events which include Town Hall’s, Board meetings and the company’s Annual General Meeting
  • Support Investor Relations Initiatives – Organize investor relations schedule including calls, meetings, conferences and manage related marketing materials

Qualifications and Education Requirements

The successful candidate will have:

  • Post-secondary education, preferably a Bachelor’s degree or a combination of education and experience in a Senior Administrative role
  • Possess a minimum of ten (10) years of senior-level administrative experience; oil and gas experience is preferred
  • Experience in development and stakeholder engagement, marketing and communications or fundraising considered an asset
  • Experience with coordinating travel, stakeholder relations and protocols
  • Advanced skills in minute taking and the use of Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent business writing skills to ensure well-formatted, concise and accurate meeting records and correspondence
  • Able to work cooperatively with a broad range of individuals and act with tact and diplomacy at all times
  • Ability to maintain confidentiality and exercise discretion when disseminating information to others
  • Ability to work independently with limited direction
  • Strong organizational and project management skills with a superior attention to detail
  • A well-defined sense of diplomacy, including solid negotiation, conflict resolution and people management skills
  • Ability to build and maintain lasting relationships with corporate departments, key business partners and customers
  • Flexibility in hours of work to accommodate event management responsibilities
