Position Summary – The Night Auditor (NA) is a key decision-maker at the hotel for the overnight shift responsible for providing superior guest service and for reconciling daily hotel revenues. As the afterhours caretaker the Night Auditor ensures the safety and security of our guests and facilities.

The Night Auditor (NA) has dual responsibilities to sell hotel guest rooms and services and provide exceptional guest service. The NA must endeavour to create loyal customers through the provision of individualized service that is efficient, responsive, proactive, caring and friendly.

Responsibilities and Duties

Key Responsibilities

Front Office

  • Provides a high standard of customer service by efficiently and accurately dealing with all guest transactions, including the process of checking in and checking out guests, and administrative duties.
  • Drives revenue by selling walk-ins, upselling, and booking reservations and providing rate information to make sales.
  • Acts as a host to our guests by searching out opportunities to go above beyond, to wow the guest; drives customer loyalty by building emotional, individualized connections with customers; and anticipating needs and being proactive
  • Provides a high standard of customer service by efficiently and accurately dealing with all guest transactions, including the process of checking in and checking out guests, and administrative duties
  • Effectively manages room inventory and updating room status
  • Attends Front Office Department and/or Hotel Meeting
  • Reports guest room maintenance work with the Maintenance Department
  • Maintains the cleanliness and neatness of the front desk area and back office
  • Enters/confirms wake-up calls
  • Reviews all cash paying guest accounts ensuring sufficient funds to cover all nights’ stay plus deposit and reports any discrepancies to the FOM immediately
  • Provides reservation and rate information as required. Take reservations as the opportunity arises
  • Sells rooms to walk-in guests, using suggestive selling techniques and negotiation
  • Acknowledges all customers that enter the lobby area and greets guests first
  • Promotes good will by being courteous, friendly, professional and helpful to guests and co-workers
  • Interprets guest needs and provides exceptional service
  • Acts as a host to our guests by searching out opportunities to wow them, driving customer loyalty by building emotional, individualized connections with customers and anticipating needs.

Security

  • Acts as the caretaker of the property of the overnight shift to ensure the safety and security of our guests and facilities.

  • Knows and adheres to all health and safety, accident prevention and emergency procedures for all the areas of the hotel
  • Manages any security issues afterhours. Communicates with the guests where necessary and reports issues to the proper authorities i.e. Management, RCMP

Finance Accounting

  • Reconciles the hotel’s revenue and settlements accurately and in a timely manner.
  • Reviews transactions to ensure established control policies and procedures are being followed, identifying variances to management.
  • Reconciles the hotel’s revenue and settlements accurately and in a timely manner.
  • Takes over from the evening Guest Services Agent (GSA), checking and accepting floats
  • Corrects any errors or omissions made in daily cash transactions
  • Posts all daily room and outstanding charges
  • Balances the house to ensure maximum occupancy and ensures all settlements, revenue are accurate, accounted for, balanced and recorded
  • Completes audit package and forwards to Accounting
  • Prepares Front Office and Food & Beverage settlement reconciliation summaries
  • Completes Video Lottery Terminal (VLT) counts and reconciles accordingly
  • Reviews transactions to ensure established control policies and procedures are being followed, identifying variances to management.
  • Recognizes and responds to any unusual daily transaction activity and reports the findings to the FOM/Accounting
  • Reviews and records promos/QSAs/discounts/voids for missing checks and detailed explanations are adhered to hotel policies
  • Closes out Credit Card Terminals
  • Prepares PI and PH accounts for the next month
  • Cash Handling
  • Adherence to the Hotel and Front Office Standard Operating Procedures

Qualifications and Skills

  • Be ready to begin at the specified time and able to work the night shifts, 10-hour shifts (11 pm to 9 am) 4 days per week and holidays.

  • Keep all business confidential both on and off duty.
  • Ability to work independently for long periods of time yet still willing and able to be part of a team.
  • Exceptional guest service talent, team player and strong communication skills

  • Demonstrates organization and multi-tasking abilities.
  • Manages stress in an appropriate and professional manner.

EXPERIENCE:

  • Over 2-4 years of strong customer experience.
  • Previous Front Desk or Night Audit or Accounting experience in a hotel is an asset.
  • Post-secondary education required (Accounting/Bookkeeping) and in hospitality.
  • Proficiency in English (verbal and written) is preferred.
  • Experience handling cash and processing debit and credit card payments.
  • Excellent computer skills and experienced in MS Office, PMS, related sales and marketing software applications and Opera as asset.
  • First aid and CPR qualification are beneficial
