Overview

Are you a collaborative, enthusiastic and adaptable administrative professional with a passion for citybuilding and environmental sustainability? The Development Services Department is seeking an executive assistant to provide a wide range of administrative functions to support the General Manager of Development Services and the Director of Engineering. With a keen eye for detail and proactive problem solving and your positive customer service philosophy will be critical to your success in this role, as you support the Development Services Department in initiatives that will contribute to a vibrant, caring and sustainable city.

Responsibilities

Primary Administrative Responsibilities:
Provides executive assistance and confidential administrative support to the General Manager, Development Services and the Director, Engineering
Provides corporate support services as the Committee Administrator to the Environmental Committee.
Writes correspondence and reports; develops presentation material on behalf of the General Manager.
Coordinates General Manager's calendar and meeting schedule daily. Arranges meetings and appointments, and reschedules as necessary. Arranges meeting rooms, refreshments and equipment, as required.
Maintains confidential files, including personnel/performance-related files.
Acts as main point of contact for telephone and walk-in inquiries for the General Manager.
Completes special assignments and projects as required.
Attends special meetings on behalf of the General Manger; records and transcribes minutes as required.
Responds to requests for information gathering/research.
Addresses inquiries/complaints from Council, staff and the public on behalf of the General Manager.
Tracks expenses and enters budget data.
Coordinates departmental meetings/forums for all Development Services staff.
Provides administrative support to Senior Management Team meetings; coordinates agenda, and records and transcribes minutes.
Initiates vendor setup in financial software, compiles required documents; ensures Contractor Safety Program requirements are up-to-date including WSIB, insurance; H&S policy, and related documentation (for review and approval from Legal) and administers a variety of payment types pertaining to General Manager and Administration section and its programs (e.g., payment requisitions, process payments under contract purchase orders).
Requirements
Must have a 2 year diploma or 2 years in a specialized program
Must have a minimum of 2 years of related experience.
Must have demonstrated experience in streamlining and developing efficient and effective administrative processes
Advanced computer skills in the Microsoft Office Suite.
Ability to support and project values compatible with the organization and participate as an effective team member.
Proven ability to manage multiple, changing priorities simultaneously.

Grade 12 Diploma plus up to 1 year of additional job-related post-secondary courses with minimum 4 years' experience or 3-Year Degree/Diploma with minimum 1 year experience

1. within the same Department in the case of permanent full-time, temporary full-time and part-time classifications.
2. within the same Division in the case of students."
