Duties and Responsibilities:
Reception Relief – Answering telephones, paging office, assists callers, greeting visitors etc. includes all day reception if receptionist is sick or away for the day

Keeping kitchens and print rooms organized and clean on all floors

Ensuring all kitchens are fully stocked with coffee, coffee accessories and condiments, as well as dining-ware (Plates, bowls, glasses, cutlery)

Clearing incoming & outgoing fax machines and distributing faxes and mail

Delivering courier packages and Astley-gilbert print jobs to employees in a timely manner

Setting-up for meetings and keeping conference rooms clean and tidy, cleaning tables and screens as needed, keeping telephone lists updated in all conference rooms

Setting up and cleaning up after lunch and learns

Adjusting room booking calendar as needed

Fulfilling catering requests for meetings (including providing water, coffee, breakfast and lunches)

Maintaining the supply of paper in fax machines, photocopiers and printers, supply of vacation request forms on all floors

Keeping an updated telephone list and seating plan in each kitchen

Updating mailboxes on each floor

Ensuring Inter-office correspondence in delivered in a timely manner

Keeping inventory and purchasing of paper & other office supplies

Updating mailboxes on each floor

Keeping inventory and purchasing of paper & other office supplies

Processing and distributing weekly office supply orders

Creating a weekly Grocery list for the office

Moving desks, chairs, filing cabinets, boxes, etc.

Various errands (delivery of proposals, picking up catering orders, hardware store purchases, etc.)

Maintaining relationships with various office suppliers (Office Central, PaperSavers, etc.)

Making service calls as needed for printers, coffee machines, etc

Assisting the Building Manager with various tasks

Gathering shredding throughout the office and placing the shredding into the shredding boxes

Photocopying and scanning if needed

Assisting Architects when necessary

Coordinate set up and take down of weekly Office Meeting with students

Assisting Office Facilities Coordinator when necessary

Other duties as assigned

Experience and Skills:
2 years office experience an asset

Proven excellence in interpersonal and communication skills both in person and over the telephone

Previous experience as a receptionist or office assistant

Proficiency with MS Office applications (Word, Excel, Outlook)

Strong organizational skills

Ability to work in a team environment
