Student Central Assistant Jobs Vacancy in University Winnipeg Winnipeg Jobs Details:

RESPONSIBILITIES:

  • Represent the University as the first point of contact for potential/current students, parents and provide accurate information on the University’s regulations/policies/procedures, faculties, and financial aids/scholarships
  • Direct inquiries for specialized information to appropriate areas of the University
  • Recognize complex policy interpretation inquiries/requests and refer the inquiries to the appropriate Director, Coordinator, or area supervisor
  • Provide staff and students with informational material and various printouts
  • Review and accurately process applications and forms for the faculties and supplementary programs
  • Explain The University of Winnipeg’s general regulations to students and staff
  • Advise students of the procedures for processing Manitoba Student Aid loan documents
  • Respond to various inquiries and provide information regarding admissions, financial aid programs/loans and policies/procedures at The University of Winnipeg
  • Oversee & confirm graduation requests, compile all fees pertaining to Convocation, distribute degrees to students and direct graduation appeals to the Convocation/Program Officer
  • Confirm students’ enrolment
  • Create, edit/revise correspondence and letters
  • Collect Transcript Request forms and release transcripts to student as required
  • Inform students when grades are to be approved by the Academic Standards Committee
  • Produce “certified correct” copies of transcripts and foreign documents from hard copy or electronic formats upon request
  • Complete various forms for external agencies
  • Add/release Holds on students’ records (requested by other departments), process contact information changes to students’ accounts
  • Consult with Academic Advisors, Financial Services, and the Registrar
  • Inform students of their examination dates and times
  • Receive and enter FIPPA release forms giving third party access
  • Create duplicate taxation information forms and correct months attended on T2202As
  • Assist students with using WebAdvisor (i.e., how to use, register/obtaining registration materials, view financial documents), compile registrations for processing in the proper sequence and assist with mail out information
  • Create and modify registration appointment times
  • Produce photo ID cards for designated students, meal plan, non-student residents, Bee-Clean, staff, faculty and Community Ambassadors
  • Relay Equitrac account passwords to students
  • Assist with training casual help, when necessary
  • Report errors and program problems to Student Financial Services
  • Assign and take payments for lockers
  • Discuss, create, and input pay arrangements with students and forward to Student Financial Services Supervisor
  • Collect and process various fee transactions
  • Inform students of all payments methods (WebAdvisor credit card, online banking, cheque, etc.) and maintain cash float

QUALIFICATIONS:

  • High school diploma required
  • Undergraduate degree preferred
  • 2 years directly-related experience, preferably in a university of or college environment
  • Must have significant cash handling experience
  • Experience explaining financial charges/statements preferred
  • Demonstrate good working knowledge of Microsoft Suite programs (i.e., Word and Excel), have good keyboarding skills (data entry, and spread sheet development) and willing to learn all computer applications required by the area
  • Knowledge of University degree programs, structure and functions of Student Services, requirements, awards programs and/or government student aid programs and with the University in general
  • Must have exceptional customer service and interpersonal skills, with the ability to communicate effectively and tactfully with students, staff, faculty, and the public
  • Must have good organizational skills with the ability to set work priorities and multi-task in the midst of multiple demands in an environment of regular interruption
  • Ability to write expressively with correct grammar
  • Ability to work independently as well as participate effectively as a member of a team
  • Ability to complete work with high accuracy and close attention to detail
  • Ability to treat personal information in a confidential manner
  • Must be willing and able to work the occasional evenings or weekends and overtime when required
  • Candidate must be willing to take vacation at non-peak periods during the year
  • Must be able to provide a criminal records check upon request
  • Must be available to work shifts between 8:00 am - 6:00 pm
