Overall Purpose/Broad Function
N-TEAM, is Nutrition International’s global hub of technical expertise focused on knowledge translation and capacity building activities. In this capacity, NTEAM hosts technical advisory groups and convenes technical meetings.
TEAM Folate is a project that brings together experts with extensive experience and knowledge from a wide array of sectors who share an interest in supporting a global strategy for the control of folate deficiency and folic acid responsive neural tube defects (NTDs) — including researchers, global experts, partners and relevant stakeholders. TEAM Folate, advised by its Expert Advisory Group (EAG), facilitates the dialogue, fosters collaboration, and disseminates up-to-date evidence to facilitate the filling of key evidence gaps and improve the design and implementation of programs.
The TEAM Folate Secretariat, supported by an Expert Advisory Group (EAG), facilitates the dialogue, fosters collaboration, and disseminates up-to-date evidence to facilitate the filling of key evidence gaps and improve the design and implementation of future programs.
The overall purpose of the position is:
To support the Secretariat’s knowledge translation activities through the maintenance of a webpage and production and dissemination of folate-related materials. Further the position will provide general administrative support for the activities of the TEAM Folate project, providing services to ensure timely and efficient project delivery, in line with NI’s policies, procedures and objectives.
Key Duties and Responsibilities:
Knowledge Translation & Dissemination
Design dissemination plan, curation of materials for webpage, writing, design and layout of technical materials, knowledge briefs and other knowledge outputs of the project.
Help develop and implement a communication strategy for partner and stakeholder engagement, utilizing social media.
Liaise with MI staff to coordinate communications and marketing campaigns as required.
Team for Folate Webpage:
Maintain webpage to create awareness of the TEAM Folate project and to disseminate knowledge products in support of the goals of the project.
Ensure webpage functions are operational on a daily basis.
Liaise with NI staff on content and webpage development as appropriate and ensure NI web protocols are followed.
Facilitate content updates and develop new content pages as required to internal and external NI sites.
Proactively support and enhance the usability and optimization of the webpage.
Participate in planning to enhance the communications functions of the webpage and social media efforts.
Support integration of written and visual content the webpage.
Manage blogs and discussion groups online.
Assist in the review and editing of written content for the webpage.
Solicit new content for sites from partner organizations.
Ensure all statistics and facts are up-to-date and accurate.
Field enquiries from webpage and pass on to appropriate person/organization.
Basic graphic design: Enhance Nutrition International’s brand and reputation and create awareness for the TEAM Folate project
Support the creation of presentations.
Provide templates or design for knowledge products and communications materials.
Project Management Administration
Assist in preparation of documentation related to program activities, including grant agreements, contracts, purchase orders, Travel Letters, budget reallocations, project extensions, project completion reports, and the regular project completion reports and project summaries.
Assist the Senior Technical Advisor with management and tracking of program budgets, milestones, reports so as to ensure that all obligations are met.
Undertake day-to-day project administrative responsibilities such as determining funds available to project, preparing project estimated costs in consultation with the Accounts Officer and, responding to requests for budgetary reallocations etc.
Monitor project budget expenditures and variances, by donor, and alert NI personnel, as required.
In consultation with Secretariat personnel, liaise with grantee on the submission of technical and financial reports and ensure obligations are met by both the grantee and NI.
Assist in administering the consultancy assignments including preparation of contracts, cheque requisitions, checking invoices, preparing payments, timely submission of reports and other follow-up action, and updates to CDB.
Make the appropriate travel arrangements for EAG, CWG, and PG and others including technical advisors, consultants, workshop/ meeting participants, etc. including Travel Authorities, travel itineraries, travel letters, visas, etc.
Assist with the organization and logistics for program meetings and workshops.
Review expense claims reports for Secretariat staff as required for accuracy and completeness.
Assist the Senior Technical Advisor in managing donor contracts/ vendor contracts as well as relations with service providers, preparing purchase orders etc.
Coordinate with the Corporate Services Unit for preparation of financial reports, budgets contract preparation and other finance related matters.
Ensure all invoices and payments are issued promptly and accurately.
Communicate with consultants, grantees and suppliers concerning administrative matters relating to contracts, grants or requests for proposals.
Other duties and responsibilities as may be required.

Vice-President, Global Technical Services & Chief Technical Advisor – support as necessary.
Education / Professional Designation:
University degree in relevant area of focus, additional course work in web design and communications.
At least four years’ experience with webpage management.
At least 5 years’ experience working in an office environment.
At least 3 years’ experience working in program management environment.
Advanced HTML programming skills and experience with web management tools.
Ability to repurpose graphic design and layouts for online consumption.
Experience in image optimization and colour correction.
Knowledge of SharePoint, Dreamweaver and Photoshop.
Experience with Fireworks, Flash, Acrobat Professional, InDesign and/or QuarkXpress would be an asset.
In-depth knowledge of the Microsoft Office applications.
Experience managing program finances.
Experience working with database, an asset.
English: high written and oral capability.
Little or no travel requirement for this position.
