JOB SUMMARY

The Food & Beverage Associate coordinates all aspects of our event and conference F&B programs including development, design and implementation. This is a highly collaborative role requiring a skilled event professional with a passion for food & beverage.

DUTIES AND RESPONSIBILITIES

The main duties of this role include, but are not limited to:
Food & Beverage

Work with the Events team to develop creative concepts for upcoming events and marry those concepts with dictated food & beverage strategies

Coordinate F&B for social programs and activities

Keep updated on food trends and issues such as sustainability, farm-to-table, etc.

Research and develop menus for breakfasts, breaks, lunches and evening events

Research venues and budget costs

Estimate food & beverage budgets, including projected beverage consumption

Develop critical paths for various events

Coordinate with internal teams for layout, signage, and logistics purposes

Manage catering RFP process with vendors

Inspect venue facilities to ensure they conform to client requirements, liaise with venue to ensure all details are communicated clearly and all agreements are met

Negotiate reduced rates with suppliers

Work with local governments to obtain required city permits and insurance

Maintain various internal planning documents

Contact and work with various potential conference partners

Obtain proper licensing to allow partner product, including alcohol, to be imported for the purpose of any and all events

Manage guarantees for events to ensure optimal budgeting and space allocation for a given event(s)

On-site Duties

Attend tastings and critically assess menus to ensure they align with the strategies set in place for each conference or event

Manages day-to-day operational and tactical aspects of multiple events and social programs

Supervise onsite management of event elements including event personnel, entertainment, décor, rentals and vendors

Oversee catering, both in contracted restaurants and with caterers, at all events throughout the conference

Troubleshoot onsite issues as they arise

Coordinate onsite with vendors for any last minute changes to the food & beverage program

Oversee, train and supervise local staff

All hands on deck – must be team oriented!

Post Event Duties

Clean up files – shred and discard outdated information

Detailed debriefing notes

Feedback on what worked and what didn't work for each venue

Reconcile invoices from vendors and coordinate payments with accounting

Update production schedules, staffing, security needs, etc. for following year

Expense reports and petty cash reconciliations

Thank you notes to vendors/sponsors/etc.

Archive conference related emails

Budget reconciliation

REQUIRED SKILLS AND ABILITIES

Detail oriented

Highly organized

Ability to multi-task and prioritize duties

Strong communicator, both written and verbal

Ability to work well in high-pressure situations

Team player with the ability to work independently

Proficient in MS Office (Work, Excel, PowerPoint), Google Docs, and Mac OS

Strong budget management skills

Big picture thinker who can manage an ever-evolving portfolio of events

EDUCATION AND EXPERIENCE

Minimum 2 years’ experience coordinating F&B in the hospitality industry including corporate events, conferences, festivals or destination management

Degree, diploma or relevant education in Event Management, Hospitality, or related field
