Under the general direction of the Director, UTIAS and day-to-day direction from the Manager, Director’s Office, and the incumbent is responsible for providing basic communications and library support and administrative services which contribute to the overall functioning of the Institute for Aerospace Studies. Key duties include: writing and editing communication materials; coordinating tours of the institute; updating the website and display screens; posting on Facebook and twitter; organizing and maintaining a UTIAS photo library. Administrative duties include: maintaining the UTIAS library collection; coordinating pickup and return of library books from the main campus; interacting with the UofT Engineering Library; coordinating lunches and/or coffee for meetings; reformatting, proofreading and editing documents, spreadsheets and reports prepared by others; and following up on action items as requested.
Bachelor’s degree in communications or equivalent combination of education and experience.
Minimum of three (3) years of relevant experience within design or communications in the field of engineering or a comparable environment. Experience supporting multiple priorities and projects. Demonstrated communications experience reviewing and creating basic content, adapting layout and proofreading written content. Experience updating websites. Familiar with developing new administrative procedures, processes, and systems. Experience with desktop publishing software, InDesign preferred. Experience in project coordination would be considered an asset. Experience using WordPress required. Knowledge of the Faculty of Applied Science & Engineering and the University of Toronto would be an asset.
Must have strong oral and written communication skills and have the ability to concisely summarize information. Must be an effective problem solver and have strong organizational and time management skills, with an ability to work under pressure and set/balance competing priorities. Demonstrated ability to work independently, showing initiative and good judgment, and also the ability to work cooperatively and be an effective team member. Proficient use of personal computer; advanced skills in Microsoft Office products including Excel, Word and PowerPoint, and in Adobe InDesign; working knowledge of WordPress required; working knowledge of HTML would be an asset.
