The Executive Assistant acts as a representative of the Office of the VPC, providing executive level administrative support to the Vice-President, and the office in a manner that enables the Vice-President to manage the portfolio in the most efficient and effective manner. The role, based on an understanding of the confidential and sensitive environment of a fast-paced, high pressure executive office, manages the administrative function by providing administrative support functions for the Office of the Vice-President; planning required meetings, events and travel; researching, producing required information (reports, presentations, data); anticipating outcomes of requests made to the Vice-President and redirecting or initiating preliminary action; and working on special projects for the Vice-President.
The incumbent works to advance the priorities of the office by coordinating meetings of the VP, leadership groups, compiling agendas, taking minutes, and following up on outstanding action items. The scope of this position is driven by the complex range of responsibilities undertaken by the VP.
The incumbent must resolve issues and answer inquiries independently based on the understanding of the portfolio and priorities, ensuring the VP is informed of pertinent issues through executive briefings on decisions, operational issues and reports. The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness and a need to maintain absolute confidentiality. The incumbent must present a professional image in the office by interacting knowledgeably and courteously with the many people including governors, senior administrators, faculty, staff, students and community members who come into contact with the Office of the VP.
Bachelor’s degree, or equivalent combination of education and experience.
Minimum five (5) years of experience in progressively responsible senior secretarial/administrative roles. Intensive experience using scheduling software. Experience working in an academic environment and/or with communications experience preferred. Proven success in providing superior service and support in a busy, demanding environment. Knowledge of the university structure and senior administration an asset.
Must be computer literate and a strong facility with the internet, as well as with various software programs including Word, PowerPoint, spreadsheets and database management programs. Working knowledge of FIS required.
Excellent oral and written communication skills. Must be a strong writer, able to consisely summarize information and provide a rationale for action. Must have sound judgement, tact, problem-solving skills and analytical skills, excellent interpersonal skills and attention to detail. Must be able to identify and understand emerging issues as well as set and manage priorities. Meticulous organizational skills. Demonstrated initiative and problem-solving orientation. Must be proactive. Ability to manage a large and constantly fluctuating workload. Demonstrated flexibility and adaptability within a constantly changing environment. Demonstrated project management experience. Must have the ability to meet tight deadlines and to perform well under pressure. Must be able to deal with confidential information that has legal and labour relations implications. Demonstrated diplomacy, tact, judgement and discretion. Must be able to work to work independently and to collaborate and participate effectively within a team environment.
