Duties

Under the general direction of the Agriculture Resource Coordinator, Central Region, the incumbent provides a wide range of administrative services and support to the Agriculture and Food Advisory Services Division and Central Regional Team.

Responsibilities include:

  • serving as front line contact with clients and general public for the Central Regional office;
  • preparing procurement paperwork and transactions; processing of invoices;
  • arranging meetings/courses;
  • managing the client database for organizations in order to ensure accurate delivery of information;
  • maintaining an organized inventory of all resource material;
  • keeping an up to date office filing system.

The incumbent provides frontline contact with clients and the general public, and must be perceptual in interpreting requests for information and re-directing to appropriate staff, as well as completing work assignments with accuracy and efficiency. The NSDA main phone line is directed to this office and the Secretary 2 is responsible for answering the calls and directing them to the appropriate staff member, specialist or department in a timely manner.

Qualifications

One year business course plus three years related experience; or an equivalent combination of training and experience may be acceptable.

This position requires proficiency in keyboarding and transcribing, as well as strong grammar, writing, and editing skills. The incumbent must be detail-oriented with excellent data entry skills to accurately compile, compute, record and process statistical data while under pressure to meet deadlines. They will be proficient in computer software applications including word processing, spreadsheets, data processing and database computer programs, and willing to undertake additional computer training as needed. A good understanding of records management systems including STAR/STOR (or equivalent) is required as well as strong organizational, administrative and prioritization skills. They will possess the ability to work independently with limited supervision and harmoniously as a team member in a busy, collaborative, client-centered environment.This position also requires well-developed interpersonal and communication skills in order to effectively and tactfully respond to inquiries and to interact effectively with staff and clients including farmers, government officials and other stakeholders. Diplomacy, discretion and confidentiality are critical; must have demonstrated experience handling sensitive or confidential information.

A broad knowledge of departmental and related federal policies, programs and related legislation is an asset as well as a basic knowledge of budgeting and procurement practices.

Special Statement

Pay Grade: CL 18

Salary Range: $21.25 - $23.77 Hourly

This is a bargaining unit position initially restricted to current civil service employees represented by the Nova Scotia Government Employees Union (NSGEU).
