Administrative Assistant Graduate Studies Jobs Vacancy in University Ottawa Ottawa Jobs Details:
Provides support to the management and the graduate programs in accomplishing administrative and secretarial duties. Participates in administrative activities of the programs, including coordination of activities for thesis defense and synthesis exams. Manages logistics and participates in the planning and the follow-up of committee meetings. Performs administrative activities related to the collective agreements for teaching and research assistants (CUPE).
Knowledge of office administration normally acquired through a postsecondary education program or equivalent experience
Knowledge of the university and faculty structures would be an asset
Knowledge of practices related to the organization of meetings and follow-up
Experience using computer systems such as Windows, word processing, database, spreadsheet, presentation, email, internet, etc.
Experience in the effective use of all common office equipment necessary for the performance of tasks
Experience in interpreting, explaining and applying policies and procedures
Experience in customer service
Experience in administrative writing in French and English.
Ability to set priorities, work under pressure and organize work to meet strict deadlines.
Excellent interpersonal and communication skills
Autonomy, initiative, tact and diplomacy
Absolute discretion in the processing of administrative files
Team spirit and mutual support
Bilingualism - French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced proficiency level for both oral comprehension and reading comprehension in their second official language. The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
