Medical Cosmetic Office Manager

Varies Location: Edmonton, AB

This position is an integral part of the overall day-to-day operation of the multi-service cosmetic medical clinic . The Office Manager is responsible for the overall success of the relationship between the company and the client. This role will have direct communication with management and staff. Must be able to act as a liaison between management and existing staff members, as well as physicians who work at the Clinic. The primary role will be to introduce and implement improved processes within the Clinic with respect to a variety of areas including Human Resources Management, Operations and Customer Service. Coordinating sales, marketing and website activity will be another equally important function of this role.

Duties and Responsibilities Include:

Management of Human Resources:

Interview, hire, train, discipline, coordinate termination when necessary for all support staff.

Keep records of all employee related issues in their employee files.

Plan and conduct bi-monthly staff meetings and ensure all issues are addressed and follow up with any outstanding issues.

Ensure the staff receives proper training and education of all products, treatments and services.

Arrange for suppliers to conduct lunch and learns, provide educational materials for employees

Ensure the staff is abreast of all launched marketing efforts/campaigns.

Creation of Employee Training Manual and Code of Conduct to reflect current business practices. Review benefit package.

Operations and Customer Service:

Provide recommendations to owner of ways to improve overall operation of the clinic, employee working experience and the comforts of guests.

Implement new efficient working systems when necessary for front staff to streamline operations.

Assist with cosmetic procedures when required . Knowledge or background working in cosmetic’s field .

Sales, Marketing and Website:

Coordinate company promotions and other marketing activities to maximize the company’s position in the market.

Determine monthly specials, post on website, email database

Maintain website on a regular basis.

Responsible for social media marketing and tracking of conversion rates.

Prepare media kits for any PR launches of services or products.

Able to deal with IT issues with computers. Knowledge of IT issues and fixes.

Work with graphic artists to coordinate brochures, mailers and other marketing materials.

Prepare newsletter content and arrange for mail and email distribution.

Coordinate in-house events.

Coordinate Annual Client Appreciation Night.

Requirements and Competencies:

Candidate must be energetic, an excellent communicator, a self starter and most importantly autonomous .

Bachelor of Business Administration, Marketing, Commerce, Nursing or Dermatology

Minimum of 7 years working in the Aesthetic Medicine Industry

Experience managing staff

Demonstrate leadership ability

Business and financial acumen

Experience working with IT computer system issues

Capability of developing strong relationships inside the clinic and with outside partners

A complete working knowledge of service sector customer service models is required.

A proficiency in Windows Office, POS retail systems is an asset.

A general understanding of the cosmetic surgery and medical aesthetic industry will prove valuable.

Key success will be determined by the ability to adapt to new challenges and to think beyond a standard parameter of work responsibilities.

Salary: $40,000.00 to $70,000.00 /year
