Job Summary:

Trolleybus is a real estate development firm that specializes in the acquisition of properties for the purpose of redevelopment into residential and mixed-use projects. Our experienced and knowledgeable team has the ability to navigate the municipal rezoning and approval process in order to create new uses for the land acquired. The team consists of specialists with a solid understanding of municipal planning approval, project management, and real estate financial structuring. We are a looking for an Administrative Office Assistant. In this role, you will report directly to the President & CEO of the company. We are looking for someone who has experience in real estate, with great interpersonal skills, who demonstrates positivity, professionalism and enthusiasm! The candidate must have strong communication skills and be able to work gracefully in very a fast-paced environment.. You'll be part of a dynamic, bright and energetic office that's filled with great energy!

Executive Assistant/Office Manager - Responsibilities and Duties:

  • Manage calendar including scheduling/arranging meetings, events, booing meeting rooms, and sending invitations and reminders to external stakeholders and consultants
  • Coordinate travel, hotel and car reservations, including verifying required travel documentation
  • Assist in answering the Managing Director’s calls, emails, and returning
  • Prepare event briefing materials for Managing Director
  • Work alongside the Managing Director on various files
  • Ensure Managing Director’s office and surrounding areas are kept neat and tidy
  • Assist in personal tasks

Office Management

  • Maintain office efficiency by planning and implementing office policies
  • Office organization/ filing of projects
  • Prepare correspondence, reports, and presentations
  • Greet guests and providing a good impression
  • Assist in maintaining the company’s website
  • Assist in various planning support role
  • Order office supplies
  • Assist in various office design tasks
  • Prospecting land in the GTA and GGH
  • Compile information for reports, documents or correspondence through research, data retrieval, compiling and/or tabulating data and organize and present the information in useable and concise format
  • Track and maintain communications among all team members (local and remote stakeholders), manage and distribute assignments
  • Assemble and review responses for compliance, accuracy and content, and coordinate / participate in review sessions with teammates to ensure the integrity of all documents and solutions
  • Create Project Summary and Greenbook
  • Read planning policies and various reports

Market Research

  • Become familiar with competitor’s product and understand how it can be used to address business questions
  • Use Real Estate and other statistical software to collect data
  • Prepare monthly, quarterly and annual market reports
  • Collect market comparable
  • Perform field research to better evaluate competitor’s sales absorption ability
  • Perform ad-hoc analyses to support management

Qualifications and Skills:

  • Post-secondary education required
  • Experience working the real estate, development or urban planning industry
  • Sound knowledge of RealNet or Urbanation would be an asset
  • Proficiency with Microsoft Office (Word, Excel, Powerpoint) and Microsoft Outlook, and Adobe programs
  • Strong understanding of Social Media platforms (Facebook, Instagram, Twitter, LinkedIn)
  • Outstanding Customer Service
  • Excellent interpersonal and communication skills (written and verbal), with strong proof-reading skills
  • Strong initiative and multi-tasking abilities
  • Ability to problem-solve, excellent attention to detail and highly-organized
  • Excellent calendar and time management skills
  • Strong analytical and research skills
  • Strong data entry and reporting skills
  • Must be friendly, dependable and reliable; must be willing to occasionally work on evenings and weekends supporting the President
  • Drivers license would be an asset

Benefits:

  • Trolleybus will offer a strong compensation package depending on experience. We will also offer individual project and company year end bonus potential as well full company benefits. Profit participation is also available in this role. Three-week vacation also offered.

Salary: $50,000.00 to $53,000.00 /year
